Role Overview:

As an Admin/Executive Assistant at Yobi, you will provide crucial administrative support to our executive team, ensuring smooth daily operations and efficient workflow. You'll serve as the organizational backbone of the company, handling a variety of administrative tasks, coordinating schedules, and facilitating effective communication across departments and with external stakeholders.

Key Responsibilities:

Executive Support:

  • Provide comprehensive administrative support to the executive team
  • Manage complex calendars, schedule meetings, and coordinate appointments
  • Prepare meeting materials and take detailed minutes when required
  • Screen and prioritize emails, correspondence, and phone calls

Office Management:

  • Coordinate office logistics, including supplies, equipment, and vendor relationships
  • Assist with organizing company events, team activities, and meetings
  • Maintain organized filing systems, both digital and physical
  • Support onboarding processes for new team members

Communication & Coordination:

  • Serve as a liaison between executives and internal/external stakeholders
  • Draft and proofread correspondence, presentations, and reports
  • Manage travel arrangements and expense reporting
  • Facilitate effective information flow across departments

Project Assistance:

  • Support special projects as assigned by the executive team
  • Track project timelines and follow up on outstanding items
  • Research and compile information for executive decision-making
  • Assist with preparation of presentations and reports

Requirements:

  • High school diploma required; Associate's or Bachelor's degree preferred
  • 2+ years of experience in administrative or executive assistant roles
  • Exceptional organizational skills with strong attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office Suite and Google Workspace
  • Ability to maintain confidentiality and exercise discretion
  • Strong problem-solving skills and proactive work approach
  • Experience supporting executives in a fast-paced environment
  • Flexibility to adapt to changing priorities and deadlines
